Privacy Policy

This Privacy Policy explains how WOXTUR Alliance Networks Pvt Ltd ("WOXTUR", "we", "us") collects, uses, stores, shares and protects information when you use the WOXTUR platform at my.woxturnetworks.com and the WOXTUR mobile app (together, the "Service"). By using the Service you agree to this policy.

1. Who we are

WOXTUR Alliance Networks Pvt Ltd is a company based in Chennai, Tamil Nadu, India. We operate the Service and are responsible for the personal data processed through it. You can reach us at support@woxturnetworks.com.

2. Information we collect

  • Account information — name, company name, email address, mobile number, Account ID, password (stored only as a one-way hash), role, territory and pincode.
  • Business identity details — GSTIN, PAN, registered address and bank account details that you enter for invoicing, accounting and payments.
  • Business records you create — customers, contacts, enquiries, quotations, purchase orders, invoices, vouchers, ledgers, visit logs, service and breakdown (SOS) calls, documents and files you upload.
  • Connected mailbox data — only if you choose to connect a mailbox. See section 4 for Google accounts.
  • Security and usage data — IP address, sign-in times, device and browser type, a random device identifier created by the app or browser (so we can email you when your account is signed in from a new device), and an audit log of sensitive actions, used to keep accounts secure.
  • Location — only when you allow it in your browser or phone, for site check-in and breakdown calls.
  • Camera and photos — only when you choose to take or pick a picture (for example a profile picture or a business card).
  • Notification token — so the mobile app can show alerts you have enabled.

3. How we use information

  • To create and run your account and provide the features you use.
  • To keep the Service secure — sign-in protection, two-step verification, fraud and abuse prevention, and audit trails.
  • To prepare documents, ledgers and GST records that you ask the Service to produce.
  • To send you service messages such as one-time codes, password resets, security alerts and notifications.
  • To provide support when you contact us.
  • To meet legal, tax and regulatory obligations.

We do not sell personal data, and we do not use your data for advertising.

4. Google user data (Gmail)

You can connect a Gmail account to Business Pulse so that business email reaches your WOXTUR console. When you do, we ask Google for these permissions:

  • Read your email (gmail.readonly) — to find business enquiries, purchase orders and customer correspondence (including business email that Gmail placed in Spam) and show them in Business Pulse and Track Enquiry. We never read Trash.
  • Send email on your behalf (gmail.send) — only when you press Send on a quotation, document or reply in WOXTUR, so it goes from your own address.
  • Your basic profile and email address (openid, email) — to identify which mailbox is connected.

How it is stored. The access token Google gives us and the email content we keep are encrypted at rest. They are visible only inside your own company's console, to the people you give access to. WOXTUR staff have no access to the content of your mailbox.

What we never do with Google user data. We do not sell it. We do not use it for advertising. We do not send it to any third-party artificial-intelligence service, and we do not use it to develop, improve or train generalised AI or machine-learning models. We do not let any person read it, except with your explicit consent for a specific message, when needed for security (for example investigating abuse), to comply with law, or when the data has been aggregated and anonymised for internal operations.

Limited Use. WOXTUR's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Disconnecting. You can disconnect a mailbox at any time in Business Pulse. This deletes the stored access token immediately and stops all further reading and sending. You can also remove WOXTUR's access from your Google Account at myaccount.google.com/permissions. To have the email content already stored in your console deleted, write to us (section 10).

5. When information is shared

  • Within your own organisation — with the team members and seats you add, according to the access you give them.
  • With partners on a job — only what the job needs. For example, a customer's name, site address and contact are shown to a service partner only after that partner has been deputed to the job.
  • With service providers who run the Service for us, such as cloud hosting and email delivery, under confidentiality and only for that purpose.
  • When the law requires it — to comply with a legal obligation, court order or lawful request from a government authority.
  • In a business transfer — if WOXTUR is merged or acquired, subject to this policy.

6. How we protect information

  • All traffic uses HTTPS encryption.
  • Mailbox credentials and email content are encrypted at rest. Passwords are stored only as one-way hashes.
  • New passwords are checked against lists of passwords exposed in public data breaches. Only a short, irreversible fragment of a scrambled form of the password is used for this check — never the password itself.
  • Optional two-step verification (an authenticator app) is available to every user in My Profile → Security, and we email you when your account is signed in from a new device.
  • Each company's data is isolated from every other company's data.
  • Privileged staff accounts require two-step verification and can be limited to trusted networks.
  • Sensitive actions are recorded in a tamper-evident audit log.

No system is perfectly secure. If we become aware of a breach that affects your personal data, we will notify you and the authorities as the law requires.

7. Where data is stored and how long we keep it

Data is stored on secure cloud servers, which may be located outside India. We keep account and business records while your account is active and afterwards for as long as tax, accounting and other laws require. Records we no longer need are deleted or anonymised.

8. Your rights

Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you can ask us to:

  • give you a summary of the personal data we hold about you;
  • correct or update inaccurate data;
  • delete data we no longer need to keep;
  • withdraw a consent you gave (for example by disconnecting a mailbox);
  • nominate another person to exercise these rights if you are unable to.

You can also raise a grievance with us, and if it is not resolved, with the Data Protection Board of India.

9. Cookies and browser storage

We use your browser's storage only to keep you signed in and to remember simple preferences. We do not use advertising or third-party tracking cookies.

10. Contact and grievances

For privacy questions, data requests or grievances, write to our Grievance Officer at support@woxturnetworks.com, WOXTUR Alliance Networks Pvt Ltd, Chennai, Tamil Nadu, India. We aim to respond within 30 days.

11. Children

The Service is for businesses and is not intended for anyone under 18.

12. Changes to this policy

We may update this policy. The date at the top shows the latest version. If a change is significant, we will tell you in the Service before it takes effect. See also our Terms of Service.
